Minutes from UAAB Board Meeting on May 13, 2000

Meeting was called to order at 9:05 AM
Minutes from last meeting on 4/8/00 were approved as written.
Treasurer’s Report: Balances: Checking - $307.23 Savings - $5,093.00 Treasurer’s Report was accepted
June 10 Alumni Band Party - Party will be at 4:00 PM at John Prokop’s home. Invitations were prepared and sent to all current UA Band staff in addition to the general invitation to all alumni in our newsletter.. As of this date, not many RSVPs. Discussion indicated we need to send out cards or call just prior to the event to get a good turnout. For several reasons people don’t pick up on the opportunity or forget about it. We decided that everyone will share in calling people in Tucson and the surrounding area, about June 1. Dave Olson will provide and divide up a fresh list of people to call. We will also use these calls to inform people about several opportunities, as follows:
1. The June 1 party - refer to 2nd quarter newsletter and make sure they are receiving the newsletter. As for RSVP to come back to person making the call. Send John an e-mail with final results from calls.
2. The Alumni Pep Band and opportunity to play - we need musicians. Playing opportunities include home football games where seats are available in the stands behind the band. We expect to receive opportunities to play for events sponsored by several different University Departments and Alumni groups throughout the year.
3. There will be an Alumni Night on Wednesday, August 16 at Band Camp. We plan to have an Alumni Pep Band rehearsal early evening and then play a few songs for the Pride of Arizona. UAAB will be serving refreshments.
4. USC Game - October 7. We plan to have a 50 piece pep band in the stands. Seats will be limited so those that sign up early will be assured of being part of this exciting event.
Bulletin Board - John has talked to Deon Hill who has agreed to have it put up for us near the other band bulletin board. We decided to go with a 36 in. by 48 in. board. Dave Olson will purchase it for us at a cost of about $35. He will deliver it or have it delivered to Deon and do whatever coordinating is necessary to get it up. We confirmed our willingness to share the board with the Arizona Band Boosters
Instruments - We still do not have the bass drum from University storage so we can have it repaired and painted. We expect to get it soon from Deon now that school is out. Dave Olson presented several designs for the drum, sousaphone bell covers and trombone slide covers. We agreed to go with a representation of the wildcat with the words in a circle around it - University of Arizona on top and Alumni Band on the bottom. It will be a blue wildcat with red letters on a white background for the drums and sousaphone. We will also use the wildcat with horizontal letters for the trombones. Dave Olson will secure final approval for the designs and look into materials and sources of supply for the sousaphone and trombone covers. We also discussed other ways to use the design without any conclusions. The number of covers we will purchase will depend on the cost.
Alumni Pep Band - Dave Ball was not present so there was not an in-depth discussion of the subject. None of us have had any contacts with people who want to play. We confirmed our interest in having a rehearsal and brief performance for the Alumni Pep Band at the Alumni Night at band camp on August 16.
USC trip on October 7 - John has not seen a copy of the letter from the UA Band to the USC Events Management Staff that he had drafted several weeks ago. Alli will ask Shannon to check on the letter. We also do not have any formal word on the tickets for the game. We are hopeful we will have enough word to go ahead full-steam with publicity. It is essential that we have approval and ticket information by the next newsletter when it goes out in early July.
UAAB Web site - We still wish to make a change and Mike Coyle and Gary Sawyer will coordinate finding as new web site.
Alumni Night at Band Camp - As mentioned above we want to have a Pep Band rehearsal and brief performance. We also need to have the alumni night event on the UA Marching Band Camp schedule when it is published. We will again provide Egee refreshments.
Newsletter - Next one will go out in early July. We will have a deadline of June 28 for articles and other material to Dave Olson. Following are the areas we agreed to include in the next newsletter.
Presidents column - Prokop Alumni Night - Prokop USC Trip - Oler Band Camp Schedule, to include outreach exhibition - Howard Schedule of Events - Olson Plaza Palomino - Howard Ads - all Picnic - Olson Cancer awareness item - Rowe History article - Prokop Report on June Social - Prokop
Band Boosters - John reported that Arizona Band Boosters will be meeting that same day in the afternoon at his home. John is a member of the Booster Board.
Homecoming report - John received a letter from the Alumni Association requesting a report by July 1 with regard to our homecoming plans. John checked with Eve Dotson and learned that the UA Band will again be arranging for the tent on the mall for us. John will complete and submit the requested report.
UA Athletics Hall of Fame - Dave Olson presented information about requirements for nomination to this hall of fame and we agreed we had a potential nominee that we would like to sponsor. We unanimously agreed upon the choice and that we want to do it. John will see if we can get the UA Band Program and other UA Band support groups to cosponsor our nomination.
Next meeting will be on Saturday, July 15, 9:00 AM at John Prokop’s home. We will be assembling the next newsletter for mailing.
