Board Meeting

July 7th, 2001

Meeting at John Prokop’s house was called to order at 10:17 a.m. Members present were: Shirley Bayne, Andrew Barcellos, Gary Sawyer, Elizabeth Ann Rowe, Bryan Pearson, Ward Stevens, John Prokop, Dave Olson, and Dave Ball. Members absent were: Alli Howard, Steve Coyle, Mike Coyle, and the new UA Band liaison Bryan Holbrook.

Minutes
The minutes from the last meeting were approved.

Treasurer’s Report
We have $2874 in Checking and $2642 in Savings. Dave will move some money from Checking into Savings. Report was accepted.

Newsletter
John has written many of the articles for this issue: History, Picnic, Alumni Night, Calendar. Dave will write the Gaslight article. Shirley has written the Bowling article. Dave will send a copy to everyone on Monday to proofread. The deadline for the next newsletter (Homecoming) is Sun. Aug. 19 at the picnic.

Mailing List/Newsletter
The question was brought up about who should be on the Active list and we decided it should be all contributing members, people who have been recently active in our events and others that for various reasons should receive this information, such as former UA Band staff.

John and Elizabeth attended a meeting at the Alumni Association with Jennifer Cartwright. She is the Program Director for Homecoming, Reunions, and Special Events. The purpose of the meeting was to talk about using the Alumni Assn. mailing list and to have them do our newsletter. They have a budget for us, which would cover the printing and mailing of homecoming plus 2 additional issues per year. No advertisements are allowed, and the Alumni Assn. will edit and review the newsletter. This will take two weeks, so we will need to allow that time for turnaround. They are particularly concerned about solicitations and that if we ask for money in our releases we clearly state if any portion of any payments can be treated as a tax deduction. Dave O. will be in contact with Jennifer Cartwright before July 21 to clarify timing for newsletters and content. Andrew suggested perhaps doing a 4th issue on our own which could have advertisements. That was tabled until the next meeting.

The mailing list was also discussed. It is not as effective as we would like it. We had 35-40 returns out of 480 from our last newsletter. Elizabeth was able to track some of them. Anyone who has attended band, KKY/TBS, or who has graduated from the UA should be included on the mailing list. Kathy Atkins joined the meeting at the Alumni Assn. and was able to help John and Elizabeth in understanding their procedures and how we can use their system. After August we will get a master list from the Alumni Assn. We will enter codes for active people. We will need a committee to do this. Also, we received a form, the UA Alumni Assn. Register that we can put out at events and collect information about our band alumni that they will directly use to make changes in their database. They also suggested we become more aggressive in capturing names of current band members that can later be added to our Alumni roster. They also will add people to their database at our request if we know them to be alumni of the UA.

Alumni Pep Band
Alli is not able to be the manager of the pep band any longer. She will direct if she is able to attend a gig. Elizabeth needs to know who is coming to a gig ahead of time so she can bring just that music, not 2 boxes. Andrew will be our new Alumni Pep Band manager. He will set up some guidelines for us to look at and discuss about accepting gigs. For instance, if we’re covering for the UA Pep Band we need to know that, and they need to help us fill the instrumentation.

We were auctioned off for $75 for a half-hour performance to Elaine Feder. The understanding is that this was for evenings/weekends and that she’d feed us.

We need someone to play the alumni bass drum and to be in charge of it. Andrew will look into making a transporter/dolly for it.

Gary Sawyer will put Andrew’s name on the web page as the contact person if people want the UA Alumni Pep Band to play for a gig.

100 Year Anniversary Planning/History
John is having no luck meeting with Gregg Hanson, as Hanson is continually unavailable to meet. We will go ahead and start planning on our own. We will have a free (normally $200) 1” ad in the Catifieds of the Alumnus Magazine to publicize the anniversary and massed band.

We will start collecting items for the exhibits in the Fall of 2002. This would be for 3-6 months and would be a loan. It will be exhibited in the Hall of Fame and at the Student Union.

Schedule for Next Year
Band Camp starts August 12. Alumni Night is Wed. Aug. 15 at 7 p.m. We will provide eegee’s to the band campers (less pina colada, more strawberry). Also, we will have our first rehearsal of the football pep band. Andrew will get the eegee’s.

Picnic
The alumni band/UA Band picnic is Sunday, August 19. It starts at 11 a.m. Dave O. will bring the volleyball net. Bryan P. and Shirley will bring volleyballs. Bryan will get there early and save the area. He will also get the beer permit.

The alumni vs. current members volleyball game will start at 2 p.m. and will be a best 3 out of 5 games.

Social Activities
Our bowling activity is scheduled for Sat. July 21, from 2 – 4 p.m. at the Lucky Strike Bowl on Speedway. Cost is $6.50 per person, which includes 2 hours of bowling and shoe rental. We have reserved space for 20 people. We have to pay a 25% deposit by July 19 at 5 p.m. Shirley will clarify if we have to pay for all 20 even if fewer show up. Shirley will pay the deposit and then get reimbursed. People must call Shirley by Wed. July 18 if they are going to go. We also discussed the Gaslight Theater events. Poor turnout at last one.

Merchandise
Dave O. has a book of merchandise. He went to see Clarissa, who sends in our orders. She can’t guarantee colors, as dye lots can change a bit, but we will get the UA color. Dave will e-mail designs for the centennial logo and we will make up shirts and start selling them at this homecoming.

Next meetings
Our next meeting will be a brief meeting at 11 a.m. on Aug. 19, right before the picnic, at Himmel Park. Our next regularly scheduled meeting will be Sat. Sept. 15 at 9 a.m. at John Prokop’s house.
