Board Meeting

September 15, 2001

Meeting was called to order at 9:20 a.m.
Members present: Bryan Holbrook, Elizabeth Anne Rowe, John Prokop, Dave Ball, Bryan Pierson, Mike Coyle, Alli Howard, Dave Olson, Shirley Bayne, Andrew Barcellos. Members absent: Gary Sawyer, Ward Stevens, Steve Coyle.

Secretary’s minutes:
Bryan P. moved to accept, Alli seconded, motion passed.

Treasures’ report:
There was an error in last month’s report. We actually had $1950.50 (not $2874) in the checking account last month. The current balance is $1680.50. We spent $270.38 for the picnic. The savings account balance has not changed ($2642) since the last meeting. Money was not moved from the checking account to the savings account since there was actually less money than thought. Andrew paid Dave $65 for 13 cases of leftover soda from the picnic at $5 each. Dave gave Andrew $20 to reimburse him for ice bought for the picnic. Dave will finish the accounting form for the UA. Report accepted.

Newsletter:
Dave passed around a draft and will e-mail it to everyone to proof. A three-newsletter schedule was approved. All will be covered financially by the Alumni Association. We will do a major newsletter to everyone on the list for Homecoming, plus two minor newsletters to a shorter list: one in mid-January and the other in early summer.

Stand by your Band Fundraiser: Will be October 14 at La Placita.

Homecoming:
Game tickets will cost $10 for non-contributing members, and $7 for contributing members. Game seats will be high in the stadium. The halftime show will be patriotic. The active pep band will meet as usual, while others will play “Bear Down”, “Fight Wildcats”, and “Here Comes the Band” before the game. Prices for the new alumni band shirts, centennial edition, will be $22 for non-contributing members, and $18 for contributing members. These are polo-type shirts with “alumni” on the sleeve, and the “100 years of band” logo on the front.

Breakfast homecoming meeting will be in room 205 at the Alumni Association Building at Speedway and Cherry at 7:30 a.m. It will be catered by Brueggers’ Bagels for $295.00 for 100 people. The light breakfast will include coffee, orange juice, apple juice, bagels, cream cheese, a fruit bowl, danishes, and a hot water dispenser (for tea and decaf coffee). Brueggers’ will deliver, set up and clean up (but will not serve). We will buy tea bags and decaf coffee to go with the hot water. The schedule for the day will include 9:30 a.m. Rehearsal; Lunch at Gentle Ben’s; 2:30 p.m. Parade; 4:30 p.m. Meal at Tent; Game starts at 7 p.m.

Elections at Homecoming
We have a slate of nominations:
President-elect: Andrew Barcellos
It was recommended that the current members at large continue for another two-year term: Bryan Pearson, Elizabeth Anne Rowe, and Alli Howard. Ward Stevens resigned for the second year of his two-year term due to scheduling conflicts. John Prokop will appoint someone to finish his term. Mike DeShallit and Bob Kruse were suggested as possible appointees.

Alumni Pep Band:
Andrew said we had a good turnout of 19 people for the first home football game. However, we need to get ready quickly, play, and move on during the tailgating time. There was too much talking and waiting around to play. Room 162 has been secured for rehearsal space on Saturdays before the game. Elizabeth will buy extra folios for the folders as we are getting more music. The private party that we were to play for on Sept. 16 has been postponed.

Awards:
The Fighting Wildcats award is awarded to someone outside the band. The Bear Down Award is awarded to someone within the band. We discussed and decided who would receive these awards at homecoming.

Other business:
ASU Football Game
Mike reported that Steve would like to organize an alumni pep band to play at the ASU football game the Friday after Thanksgiving. We would sit in front of the current band, play during the game, and also outside the stadium before the game. Bryan H. will talk to Jay about getting us 50 tickets. We will arrange our own transportation, possibly get a bus or vans, or carpool.

Next meeting:
Our next meeting will be October 27 at 3:45 p.m. at the School of Music before the alumni pep band rehearsal.
