The secretary, Shirley Bayne, called the meeting to order at 9:10 a.m., as the president and president-elect were unable to attend. Present: Shirley Bayne, Bryan Pierson, Elizabeth Anne Rowe, Dave Olson, John Prokop, and Steve Coyle.
Minutes: The minutes from the last meeting, on April 14, 2002, were approved with the change that Dave Cole declined the offer of gas reimbursement.
Treasurer’s Report: We have $1054.47 in checking; $2657.10 in savings. Report was approved.
Homecoming Banquet: The banquet will be Friday, November 8, 2002. John suggested we use the Doubletree Hotel, which is one of the Alumni Association’s host hotels. We can use their Junior Ballroom, which seats 210, for dinner. Cost is $20/person, plus 19% gratuity, plus tax, so basically $25/person.
AV equipment, such as a microphone or projection equipment would be extra. The site was approved. John will contact them to secure it. Steve will ask Jay Rees for money to help cover the costs. The banquet will also serve as the business meeting to elect new officers, instead of the usual Saturday morning breakfast meeting.
Since this is the 100-year anniversary of band at the UA, and the 50th anniversary of “Bear Down, Arizona”, we plan to have a band history “slide” show, speakers, and awards at the banquet. We plan to attend the bonfire after the banquet.
Homecoming Game: The game is scheduled for 7:07 p.m. on November 9, versus UCLA. Game time may change. We will have a field show rehearsal Saturday morning. We will rent an equipment truck (instead of using room J), to accommodate the larger number of instruments. We will need to borrow instruments of all kinds from high school band directors for our alumni to use. Elizabeth Anne will contact Nancy Yaelli from the Alumni Assn. to see if we can get 500 football tickets for Homecoming, and then return some, as needed, a few weeks before the game.
Band Camp/Alumni Night/Picnic: Band camp starts on Sunday, August 18. Alumni night is scheduled for Wednesday, August 21. We will meet at 7 p.m. and rehearse, then play for the Pride band, then serve eegee’s to the band. The Alumni Band/Pride Picnic is scheduled for Sunday, August 25. We will meet at 11 a.m., have lunch, and then have the annual volleyball match at 2 p.m.
Pep Band Gigs: Steve said Mike Coyle has volunteered to coordinate the Pep Band gigs. His contact information is: mcoyle@rainbird.com or 806-0262. The first football game is Saturday, August 31 versus NAU.
Personnel: The board passed a motion that Dave Ball is contacted with the stipulation that he either needs to act and take leadership as the alumni band president or resign his position. Shirley will contact him. Andrew Barcellos will continue in his position on the board as President-Elect. We will determine who will take over Alli’s position as member-at-large, as she is now the Band Liaison, after Dave Ball’s leadership role is decided.
Website: Shirley will contact Gary Sawyer to ask him to update the alumni band website.
Newsletter: We will send a short letter to everyone with the following topics: Homecoming info, Band Camp Alumni Night, Picnic, and Pep Band gigs. Shirley will write up the articles with the assistance of Elizabeth Anne. Dave Olson will print the labels, get the stamps, etc. We will fold, stamp, address them, and send them out at the next meeting. We will pay for and send this short newsletter ourselves, instead of through the Alumni Assn., as we are running short on time. However, the actual Homecoming newsletter (with registration forms) will be sent through the Alumni Assn. at their cost.
Homecoming Contact: Angie Ballard is the Alumni Assn. Homecoming contact for this year. Her e-mail is ballard@al.arizona.edu, so we can get band activities on the Alumni Assn. homecoming activities’ list.
Next meeting: Saturday, July 20, 2002 at 10 a.m. at John Prokop’s house. Bring your flip folders to give to Elizabeth Anne, so she can put in new music. Come help fold, stamp, and staple newsletters so we can get them out. We will order pizza for lunch.
