Alumni Band Board Meeting

July 20, 2002

Meeting was called to order at 10:10 a.m. at John Prokop’s house. Members present: John Prokop, Dave Olson, Bryan Pierson, Elizabeth Anne Rowe, Mike Coyle, Ali Coyle, Steve, Coyle, Gary Sawyer, Shirley Bayne, Andrew Barcellos, and guests Bill Bolerjack (alum) and Carol Petrocelli (Public Relations for the School of Music).

Minutes from the July 6, 2002 meeting were approved. Treasurer’s Report has not changed since the last meeting: $1054.47 in checking, $2657.10 in savings. Report approved.

Homecoming/Centennial updates:
Carol Petrocelli told us Homecoming will celebrate the University of Arizona’s Bands as the oldest in the state. The homecoming theme is “A Century of PRIDE”. On Friday, Nov. 8, the band will be featured at the annual Bear Down Bash dinner in Bear Down Gym. They are already working on special logos, artwork, and an article in the next Alumni magazine since this is a University-wide, and citywide celebration. The dinner cost is not finalized, but will probably be $20-25/ person, with seating for up to 1000 people. The time is planned for approximately 5:30 - 8 p.m. The alumni band will honor some people, specifically Jack Lee, and plan to recognize groups of people, such as having former drum majors stand, but will need to keep in mind the acoustics of the gym, plus time factors, and the fact that not everyone at the dinner will be band alumni. After the dinner we will participate in the bonfire and then have a special reception for band alumni at the Main Library Café. This should cost between $10-15/person and will include beer/wine and snacks. Alli will talk with Jay Rees about the band reimbursing us for costs for the reception or dinner so that it will cost alumni less money. Now that we know about these events, we will participate in them and drop our plans for a banquet at the Doubletree.

There will also be a concert on December 10 at Centennial Hall to celebrate 100 years of band at the UA.

Saturday Homecoming Schedule:
We are still determining the schedule for Saturday. We need to have our annual meeting sometime that day to elect new members to the Board, and to present our annual awards, the Bear Down Award, and the Fight Wildcats Award. Alli will confer with Jay Rees regarding the marching rehearsal time and then we will plan our meeting time and place. The half-time show has not been finalized, but a suggestion was made to have a “history” moment. Those who marched with Jack Lee could enter from the end zone and do the Bear Down routine, complete with goose-step. Also suggested was to play “Here Comes the Band”. Again, Alli will discuss these ideas with Jay Rees.

Newsletters:
Our July newsletter is almost ready to go out. Shirley wrote the articles, John sent pictures, while Elizabeth Anne compiled them, did the format, and added clip art. A couple of changes will be made and Dave Olson will copy them and get them out to our 300-person “short list” on Tuesday, July 23. Elizabeth Anne received an e-mail from Dick Kruegger, an alum and band newsletter editor from 1953, who was concerned about not receiving band alumni information.

The School of Music and Alumni Association are sending out a newsletter to our entire list of 3,000 band alumni to tell them about the celebration. The deadline is August 15 for a September mailing. We will put our regular two-sided homecoming registration form in their newsletter, plus a half-page article listing homecoming activities/itineraries. We will also refer people to our web site. Bill Bolerjack gave a sheet of names and addresses of alumni to Carol Petrocelli and Elizabeth Anne Rowe to update their lists.

We will also send our own regular homecoming newsletter to the 3,000 band alumni. The deadline is also Aug. 15. Andrew will write a letter from the president; Elizabeth Anne will write an article on instruments for homecoming; Steve will write an itinerary for the Homecoming weekend as well as a history timeline of great events in UA Band history. Dave Olson will compile and put together the articles.

Membership Roles:
We want to enhance communication by following the chain of command. Steve Coyle is our Homecoming Contact with Jay Rees, while Alli Coyle is our Band Liaison.

Web Site:
Our web site is no longer free. Gary Sawyer mentioned it to Jack Lee and he offered to sponsor the page for this year. The cost is $63.61. Alli will write a thank you letter to Jack Lee. A suggestion was made to see if our web page could be on the UA server. Alli will check on this, as well as see if we can have a band alumni listserv. We’re also looking into on-line registration for homecoming. Gary Sawyer’s new e-mail address is: glsawyer@gci-net.com

Alumni/PRIDE Picnic:
We are looking into having the picnic on campus at the Campbell Field, with parking in the Cherry garage. The picnic is planned for Sunday, August 25 at 11 a.m. with the volleyball game at 2 p.m. We hope more current band members will be able to attend if the picnic is held on campus.

Alumni Night at Band Camp:
This event is scheduled for Wednesday, Aug. 21 at 7 p.m. We will have an alumni pep band rehearsal, so bring your instruments. We will break at 8 p.m. for eegee’s and to meet the current band members. The alumni band will provide eegee’s. Bring an ice cream scoop for serving the eegee’s.

Board Vacancies/Elections:
Dave Ball resigned as president of the UAAB due to increasing amounts of time spent out of town on a new business and recovery from an auto accident.

Andrew Barcellos will assume the presidency of the alumni band for the rest of Dave’s term, plus his own, for a total of 3 1/2 years.

It was voted to elect a president-elect in November for a three-year term. Alli’s spot was vacated since she became Band Liaison, so it was voted to elect a member-at-large in November for a one-year term.

Room naming:
It was suggested to name Room 170 at the School of Music after Jack Lee. Alli will look into this for the Alumni Band.

NEXT MEETING: The next meeting will be Saturday, August 10 at 10 a.m. at Andrew Barcellos’ office at 3450 S. Broadmont Dr. #128 in the Palo Verde/Ajo area. He will send an e-mail with directions.
