Alumni Band Board Meeting

Sat. August 10, 2002

Meeting was called to order at 10:10 a.m. at Andrew’s office. Present: Andrew Barcellos, Gary Sawyer, John Prokop, Dave Olson, Elizabeth Anne Rowe, Alli Coyle, Mike Coyle, Shirley Bayne, and Steve Coyle.

The Minutes from the last meeting were approved. The Treasurer’s report was approved. We spent $238.26 to mail out the last newsletter to our short list. Checking balance is $816. 21; savings is $2657.10.

Picnic: The picnic will be held at McKale Field on Aug. 25 at 11 a.m. Elizabeth Anne will submit the required form and get a health permit. Dave Olson will buy the food, appx. 160 each of hamburgers and hotdogs, buns, chips, soda, water. He will also bring the volleyball net/poles and 4 tables. Andrew and Mike will bring grills. Bryan will bring ice; no beer permit is needed. Shirley will bring a volleyball and lines.

Alumni Night: We will meet on Aug. 21 at 7 p.m. at Bear Down field. Mike will run the alumni rehearsal. We will meet with the PRIDE (270 people) at 8:15 and serve eegee’s. Dave will bring tables and gloves; Andrew will buy the eegee’s. We need people to bring ice cream scoops, too.

Homecoming:

Friday, Nov. 8 at 5:30 is the Bear Down Bash; Bonfire/Pep Rally is around 7:30 or 8; Post Pep Rally Reception, hosted by the Alumni Assn. is approximately 9 p.m. Cost is $20 for the bash, or $30 for the bash and reception. The reception will have an open bar of beer and wine, plus snacks.

Sat. Nov. 9 will begin with a rehearsal at 8 a.m. for the alumni and PRIDE. We are still determining when to have our business meeting to elect new officers and give out the Bear Down and Fight Wildcat Awards. There are 3 possible game times (1,4, or 7) and parade times (10, noon, 2). We will serve an eegee’s lunch or dinner (depending on game time) to the PRIDE and alumni. We will need a double tent. Elizabeth Anne will check with Eve in the band office about renting a 15-foot Ryder truck for the instruments, and will also get game tickets.

Jack Lee Honoring: Alli said the University and the city will honor Jack in a big way, but she was not at liberty to give details. It sounds like we would have to make a huge donation in order to name the rehearsal hall after Jack Lee. We may contact Rex Woods and Dean Sevigny to see if that is truly necessary. Also, an idea was to find out what the band needs and then fund-raise for it; however, no motions were made.

Merchandise: The University has a new logo, A Century of PRIDE, which will be used on everything for homecoming, 2002. It will be a huge fundraising event for the school of music. So as not to compete, we will not be able to sell our century of excellence shirts this year. Alli will see if the band can provide each alumnus one of the new shirts for the homecoming show. Gary Sawyer offered $500 from the Boosters to help cover the cost.

School of Music Newsletter: They will send out a newsletter next week to the 3000+ alumni band members. It will include a registration form for homecoming and for the Bear Down Bash and the Reception.

Alumni Band Newsletter: We will send out our homecoming newsletter on Sept. 30 so as to not compete with the School of Music letter. It will include registration for game tickets and dues. People can also register online. We will get this newsletter to the Alumni Assn. by Aug. 29 to ensure that it will go out on Sept. 30. The articles are already assigned, however additional articles are: alumni night, Mike; picnic, Shirley; calendar of events, Alli. Please write your articles as soon as possible and e-mail them to the rest of the board for input.

Other items: KKY/TBS has a list serv and is trying to get in touch with former active members.
Keep Gary Sawyer informed so that he can keep the web site current.
The mailing list for the July newsletter was not accurate and will be updated.
There’s a possible gig on Dec. 7 in Sierra Vista (parade). Mike will get more info.

Alumni Pep Band: A suggestion was made to use Phoenix alumni for the Phoenix gigs. Dave Olson will send Mike his “active” list, which includes Phoenix alumni. Dave Cole will probably be the coordinator of the Phoenix pep band. Our next gig is Aug. 23 in Phoenix, and more people are needed.

Nominating Committee: There are several offices up for election. Dave Olson will chair this committee.

Awards Committee: Mike Coyle will chair the committee to determine the awardees for the Bear Down (in band) and Fight Wildcat (not in band) awards.

Meeting was adjourned at 12:30 p.m.

Next Meeting: Saturday, Sept. 7 at 9 a.m. at Andrew’s office.
