Call to Order: The meeting was called to order at 4:00 P.M. by President Andrew Barcellos in Tucson, Arizona.
Members Present:
Andrew Barcellos, President; Mike Coyle, President-Elect; Leeann Jones Wieser, Secretary; Steve Coyle, Treasurer; Elizabeth-Anne Rowe, Michelle Stribling, Bryan Pierson, Steve Smith, Members-at-Large; Alli Coyle, Liaison to UA Bands; Gary Sawyer, Arizona Band Boosters.
Members Absent:
David Cole, John Prokop, Members-at-Large.
Treasurer’s Report:
The current balances are $5571.87 in checking and $1648.31 in savings. Steve Coyle has met with the outgoing treasurer, Dave Olson, to review accounts and merchandise on hand. There are only twelve shirts in stock and a small amount of other items.
Approximately $11,200 was collected during Homecoming for meals, tickets, and merchandise. There was a profit of about $6500. There were a lot of donations that reduced costs. Costs for the plaques and sandwiches for the Pride band were paid with cash, but there are receipts to justify the expenses.
Donations for the tile project at McKale total $481.
There are no outstanding bills.
A donation of $150 was made toward the cost of transportation for members of the Pride band to carol at Casa de los Niños.
The report was accepted into the minutes.
Secretary’s Report:
The minutes of the November 9, 2003 meeting were presented for review. They were prepared by Shirley Bayne. The minutes were accepted.
Committee Reports: None.
Old Business:
Homecoming – Received compliments about the Saturday events and having dinner together at the Bear Down Bash on Friday night. Presenting the alumni band awards after the Saturday morning rehearsal seems to have been a worthwhile change for both alumni and students. The business meeting was not well attended when it was held in the late morning after the Pride Band show. The double tent provided a lot of room. The registration procedure was reviewed. The Board expressed their appreciation to Elizabeth-Anne Rowe for her librarian work.
New Business:
Social Committee – Last year the Alumni Band hosted a bowling night and a show at the Gaslight Theater. Over 36 people attended bowling. These events reach members who are in the Tucson area. We should attempt to schedule three events. Suggestions for events are to be sent to the president.
Finances - Between Homecoming and the UAAB/Pride picnic, the only expenses are for refreshments for the Pride Band at the rodeo parade. A suggestion was made that investing some money might result in a financial gain. It was moved (Wieser/Rowe) to have Treasurer Steve Coyle research the possibilities of investing $5000 in a six month certificate of deposit; and if after conferring with the president, a suitable option is found and the board members agree via email, a certificate of deposit can be established. The motion passed.
Merchandise – There is a need to order new shirts since there are only 12 in the current supply. There was a discussion about other logos that could be used for shirts. Members will develop layouts of fonts and the wildcat similar to the one used on the “century” shirt. Additional merchandise, such as long sleeve shirts, shorts, and caps will be discussed at the next meeting.
UAAB/Pride Picnic - The 2002 was held on campus at the Chi Omega Steps and there was a better response from students. It was determined that the 2003 picnic should be held at the campus location on the Sunday before the first day of classes. Alli Coyle will find out the date. The menu will be: hamburgers, hot dogs, veggie burgers, chips, soda, and condiments. Permits from the university and City of Tucson will be secured. Elizabeth-Anne Rowe will contact the university to reserve the power supply. Steve Coyle will look for volleyball equipment at sports stores and review the receipts to determine the amount of food needed. Alli Coyle will check with the Band Office for the volleyball trophy. Dave Olson will be contacted for any picnic equipment he might have.
Web Page/Email - The Alumni Association has set up an email account and web page for UAAB. There is an interest in adding voice mail. Gary Sawyer has been doing the web page on a Freeservers account. There were 710 hits in November and December. The move to the Alumni Association will eventually be done.
The schedule for gigs needs to be sent to Gary Sawyer for posting to the web page. It was suggested that this information be moved to the first page on the site. As a side note, there is a need for business cards to be used for gigs.
The Alumni Association would like to increase the interaction with Alumni Band. Their assistance with the newsletter is saving $600-$1200 UAAB per issue depending on the size. Two ideas were proposed – send a newsletter after Homecoming and send the newsletter via email to all those who have email addresses. The latter will be discussed with the Alumni Association.
Mailing Address – The School of Music will allow UAAB to continue using Box 13. Bank statements will be sent the treasurer’s house.
Homecoming 2003 - Several suggestions were presented.
1. Online registration. Mike Coyle will check on this with the Alumni Association.
2. Meal for the Pride band – need more turkey on wheat; need more water; sandwich count was fairly accurate; will do chips
3. Tent – good location at Bear Down Gym; get four tables; perhaps get chairs
4. Print a list of activities around campus during the afternoon
5. Show tapes from bands of the past
6. Have a group of people work on instruments and music.
7. Solicit help from tailgating people and non-marching KKY-TBS members.
8. Recognitions for seniors – could present pins and/or patch. They receive flowers for the ASU game.
Newsletter - It was discussed that a newsletter be developed in March and mailed in April. Alli Coyle will get a letter from the director of bands.
History Collection – A collection for historical artifacts is being displayed in the new Student Union Memorial Center. There is an interest in adding band memorabilia. Steve Coyle and John Prokop will investigate.
Next Meeting: The next meeting is scheduled for the weekend of February 22-23.
