Board Planning Meeting Minutes

April 13, 2003

Call to Order: The meeting was called to order at 4:12 P.M. by President Andrew Barcellos in Tucson, Arizona.

Members Present: Andrew Barcellos, President; Leeann Jones Wieser, Secretary; Elizabeth-Anne Rowe, Michelle Stribling, Bryan Pierson, John Prokop, Steve Smith, Members-at-Large.

Members Absent: Mike Coyle, President-Elect; Steve Coyle, Treasurer; David Cole, Member-at-Large; Alli Coyle, Liaison to UA Bands; Gary Sawyer, Arizona Band Boosters.

Treasurer’s Report: Since this is planning meeting and Treasurer Steve Coyle is out of the country on military duty, there was no update on the treasury. Contact will be made with Becky Everhardt, alumni band member, to assist with the treasury.

Secretary’s Report: The minutes of the January 12, 2003 meeting were presented for review. A correction to the spelling of Steve Smith’s name was made.

Since this was a planning meeting. The following topics were discussed.

Communications: Newsletter The Alumni Association offers free services to affiliated organizations. We will use them to print and mail the newsletter. Ideas for topics include:

Andrew has newsletter on file and will email to Leeann. Newsletter articles are due by May 2, for July publication. Another possible publication date is September with mailing October 1.

Email Listing There are about 75 good addresses on the Pep Band email list. Michelle has been updating the list. Discussed putting other addresses of Southern Arizona/Tucson members on PEP Band list.

Bulletin Board There is space outside the band office on the bulletin board. Updates of gigs, events, and the newsletter can be posted. Leeann will do a three month calendar to post. Eve will be the contact.

PEP Band: Gigs Community charitable events are done free of charge. Businesses or birthdays are requested to make a $100 donation or something of in kind value. Michelle will send information about gigs to Board members soon. Eventually, the web page will have separate Pep Band information.
1) Memorial Day, May 26, at Purple Heart Park. Meet at 9am; play at 10am. Elizabeth-Anne will check on the music.
2) Reid Park Zoo Volunteers Reception, April 26. Meet at 4pm.

Finances: At the January meeting, officers were directed to purchase a Certificate of Deposit. Not long after that, the Treasurer was deployed overseas. Until the treasury accounts have been rectified, the purchase of the CD has been placed on hold.

Social Events: In recent past, events have been held at the Bum Steer and a bowling alley. There was a discussion of a Colossal Cave tour and picnic.

Band Camp Picnic: Steve Smith reported on the volleyball equipment. Leeann will check catalogs for nets and balls.

Merchandise: Discussed briefly options for items to sell at Homecoming. A design was finalized. More of the “Century” shirts will be ordered for this year only. Other shirt designs and a nylon duffle will be considered. This area will be finalized at the next meeting. Michelle will post the new logo.

History: Archival material is in the Frank Simon Library. We need to work through the objects and documents. Leeann will contact Eve and work through Alli.

Rodeo: We still plan to provide sodas for the Pride after they are finished marching in the parade. Dave Olson will be contacted.

Legacy Lane Tile Project: Several wordings for the 12x12 tile were discussed: Celebrating 100 Years of Band or A Century of Excellence with UA Bands 1902-2002. Michelle will check on the tile and these options and report.

Options for Mike Coyle’s and Steve Coyle’s Positions: Mike and Steve may be overseas on military duty for as much as a year. In the meantime, there is a need for someone to fulfill their duties. Andrew appointed Michelle to fulfill the vice president’s duties. Another person will need to be found for the treasurer’s duties.

The meeting was adjourned at approximately 5:30pm.
