Board Meeting Minutes
October 12, 2003

Call to Order: The meeting was called to order at 12:13 P.M. by President Andrew Barcellos in Tucson, Arizona.

Members Present: Andrew Barcellos, President; Leeann Jones Wieser, Secretary; Elizabeth-Anne Rowe, Bryan Pierson, John Prokop, Steve Smith, Members-at-Large; Alli Coyle, Liaison to UA Bands..

Members Absent: Mike Coyle, President-Elect; Steve Coyle, Treasurer; Michelle Stribling, David Cole, Members-at-Large; Gary Sawyer, Arizona Band Boosters.

Treasurer’s Report: President Barcellos reported that the bank account had been resolved. The balance in the savings account is $1650, and the checking account has $5100.

Secretary’s Report: The minutes of the April 13, 2003 meeting will be set electronically to members.

Old Business: Newsletter: The UA Alumni Association produced the newsletter that has been sent to the UAAB members on the mailing list. An update of the homecoming activities will be sent by email to all those with addresses and by phone to others who have registered who do not have email. Andrew Barcellos will deliver newsletters to the School of Music.

Homecoming Weekend: The following details of the weekend events were discussed. Friday -
Groundbreaking for Alumni Plaza

Volleyball Game Bonfire Reception Saturday - Breakfast Letterman’s Breakfast Practice Tent Parade Tailgate and Stadium Bands After the Game Legacy Lane Tile Project: The tile is ready to be ordered. There is currently $561 in the fund. Andrew Barcellos is discussing the price with the Athletic Department. The location will be in the main area in front of McKale Center. The wording: “100 Years of UA Bands / UA Alumni Band” will fit the requirements.

Finances: At the current time, there is the only one name on the signature card. It was agreed that an additional name should be added. It moved and approved to appoint Becky Everhardt to an Acting Treasurer position until Steve Coyle returns from military duty overseas (Alli Coyle; Elizabeth-Anne Rowe). She would become a second signature on the bank account. The typical expenditures will be incurred in preparation for Homecoming (amounts are approximate): $1250 for game tickets, $1000 for breakfast, $1250 for merchandise, and $700 for lunch. Income from game tickets and breakfast will cover those costs. About half of the merchandise will be sold this year.

New Business:
Alumni Club Presidents’ Conference: Andrew Barcellos reported on his attendance at the Alumni Association’s conference for alumni clubs last weekend. It was very informative, and he gathered several ideas which could apply to UAAB. He also met several individuals who are interested in Alumni Band.

Alumni Band Merchandise: Alli Coyle reported on the current stock of merchandise. There are a limited number of bags, shirts, jackets, sweatshirts, and pins. A few of the items have the older cactus design. Andrew Barcellos will arrange for a new order of bags, shirts, jackets, sweatshirts, and pins along with new visors, ball caps, and bucket hats. The newer “Century of Excellence” logo will be used. Enough pins need to be ordered to present to the graduating band members at the last home football game.

UAAB Website: The Alumni Association offers space for a website on their site. This would be at no cost. They would assist with the setup and updating of the information. This option was accepted. It was moved and approved to reimburse Gary Sawyer for the fee of approximately $75 that he has paid for the current web page at Freeservers (Bryan Pierson; Steve Smith).

Alumni Flags: UAAB member Deon Hill organizes the flags for Homecoming each year. There is a need to purchase some flags poles. Her request of $100 would be combined with other contributions for the project. It was moved and approved to donate $100 for this the flag poles (Alli Coyle; Elizabeth-Anne Rowe).

Alumni Band Scholarship: At the Alumni Club Presidents’ Conference, Andrew Barcellos learned about the scholarship program which the Alumni Association matches a club’s donated amount. There was an extensive discussion about the possibility of a scholarship including: amount of award ($100-$500), are there funds currently available; the need for a By-Laws amendment. A donation will be taken at the Breakfast for this project.

Gig at College of Nursing Memorial and Walk: The gig will meet at the Courtyard of the College of Nursing with call time at 8:00 A.M. After starting the race, the band will proceed to the Student Union to play for the participants as they pass.

Gig at Televised Volleyball Game on November 17th: Call time for this gig is 6:00 P.M. The game will be televised live on FOX. Young alumni who are familiar with the current book are needed.

Gig at UA vs. ASU Football Game on November 28th: As in the past, UAAB members may sit and play with the Pride at Sun Devil Stadium. Alumni will gather to travel with the Pride in vans and attend the exhibition. It was moved and approved to pay for half of the cost of renting two vans (Bryan Pierson; Elizabeth-Anne Rowe). UAAB members will pay for the remainder of the cost. Reservations for the game and the vans need to be made with the band Office by November 14th. Alli Coyle will investigate rental costs.

Alumni Band Awards: Board Members are to send nominations for the Bear Down and Fight Wildcats Awards to Andrew Barcellos for consideration at the next meeting. The Bear Down Award recognizes band members while the Fight Wildcats Award honors supportive individuals outside of band members. Andrew Barcellos indicated that there is an awards program through the alumni Association that we might want to pursue.

UAAB Election of Officers: The By-Laws were reviewed to determine the status of the current officers. Andrew Barcellos was elected President-Elect in 2001. He is currently completing the term of the former President Dave ball who resigned. His term as the elected president will be 2003-2005. Mike Coyle was appointed President-Elect when Andrew Barcellos assumed the presidency. Since the presidency will not be vacated this year, there will not be a need for nominations for the two offices. There are three vacancies of Members-at-Large. Elizabeth-Anne Rowe’s and Bryan Pierson’s elected terms, as well as Michelle Stribling’s appointed term end this year. Nominations are being sought for the positions.

Thank You Notes: Andrew Barcellos proposed mailing thank you notes to UAAB members who attend Homecoming. Alumni Association will assist with this project. It was agreed to do this.

UAAB Business Cards: Andrew Barcellos proposed having business cards through the Alumni Association. There is no charge for 100 blank cards; and 500 cards cost $98. It was agreed to accept the complimentary offer from the Alumni Association.

Next Meeting: The next meeting will be following the College of Nursing gig on October 26th at the Student Union. Agenda will include final arrangements for Homecoming events.
